How to white label RetellAI

You've built agents in RetellAI that answer calls, book appointments and sound genuinely good. The problem is what happens next: you can't exactly send a client a login to the RetellAI dashboard. This guide covers what white labeling actually involves, the two ways to do it, and the six steps that take you from API key to clients logging in under your brand.

What white labeling RetellAI actually means

White labeling RetellAI means your clients get voice AI as your product. They sign in at your domain, see your logo, and pay your prices. RetellAI powers the calls underneath, but no client-facing screen ever says so.

That last part is the whole game. A reseller forwards a product and hopes nobody reads the fine print. A white label owns the relationship: the brand, the pricing, the renewal conversation. When a client loves the agent, they credit you, and when they want a second one, they call you.

RetellAI itself is developer infrastructure. It gives you an excellent API for building agents, but no branded portal to hand a client, no scoped logins, no per-client permissions. That layer is the thing you have to add.

The two ways to do it

Build your own portal

The RetellAI API is clean and well documented, so this is a real option if you have developers. Budget for auth, client workspaces, permissions, call dashboards, webhook capture, custom domains with HTTPS, and then the part everyone forgets: maintaining all of it every time the API moves. Agencies that go this route usually spend two or three months before the first client logs in.

Use a white label platform

Connect your RetellAI API key to a platform that already built the portal layer. You keep your own RetellAI account and rates, the platform supplies the branded domains, client logins, permissions and analytics. Setup is a day, not a quarter.     Keep your own RetellAI account

    Don't hand your provider relationship to a middleman. Some resell platforms sit between you and RetellAI, mark up every minute, and own your account if you ever leave.

    Keep your own RetellAI account and API key. You pay RetellAI their actual usage rates, you see your real cost per call, and every agent you build stays yours. A white label layer should sit on top of your account, not replace it.

    Put the portal on your own domain

    This is the step that makes or breaks the white label. If your clients log in at someone else's domain, you don't have a brand, you have a referral link.

    You want clients signing in at portal.youragency.com (or any domain you own), seeing your logo, your color, your favicon, and nothing else. Check the browser tab, the login page and the password reset email. Provider names have a habit of leaking through the small stuff.

    Bring the agents you've already built

    If you've been building in the RetellAI dashboard, those agents should come with you. Importing an agent means the platform starts capturing its calls, so transcripts and analytics show up for your clients.

    One thing to watch: importing usually repoints the agent's webhook. A good platform stores your original webhook and keeps forwarding to it, so the Zapier or Make automation you built last year keeps firing exactly as before.

    Give each client their own scoped login

    Sharing one dashboard login with clients ends badly. Someone edits a prompt they shouldn't, or sees another client's calls, and now you're doing damage control.

    Each client needs their own workspace that only contains what you've granted: their agents, their numbers, their calls. Permissions matter more than they sound. Some clients should only view call logs. Others can be trusted to tweak a greeting but not the prompt that took you a week to tune.

    Let clients see results without calling you

    The fastest way to lose a voice AI client is silence. If they can't see what the agent did this week, they assume it did nothing.

    Give every client a dashboard with their call volume, total minutes and average call length, plus each call's recording and transcript. When a client can scroll their own call log and hear the agent booking appointments, renewals stop being a negotiation.

    Price on value, not on minutes

    Your RetellAI cost per minute is small. Most agencies we see charge a flat monthly retainer per client, often a few hundred dollars for a receptionist agent, and keep the spread.

    Because you kept your own RetellAI account in step one, your margin is yours to set. The platform fee is fixed, so each extra client costs you almost nothing to serve.

    Then take yourself out of the collections business. A good platform connects to your own Stripe account so you can set up monthly plans with included minutes, per-minute pricing or overage rates in your currency, assign one to each client, and let the metering and invoicing run on real call time. What does it mean to white label RetellAI?+

It means selling voice AI agents built on RetellAI under your own brand. Your clients log in at your domain, see your logo and colors, and never see RetellAI's name. You keep your own RetellAI account and pricing, and the white label platform handles the branded portal, client logins, permissions and call dashboards.

Does RetellAI have a built-in white label option?+

RetellAI is built for developers and gives you the API and dashboard to create agents, but it doesn't give you branded client portals out of the box. To white label it you either build your own client-facing app on the RetellAI API or use a white label platform that already did that work.

Will my clients ever see the RetellAI name?+

Not on a properly built white label. On HelloAnswer, client portals run on your domain with your branding, and provider names never appear in a client-facing screen. The marketing site won't even render on your branded hosts.

Do I need my own RetellAI account?+

On HelloAnswer, yes, and that's deliberate. You connect your own API key, pay RetellAI's usage rates directly, and keep full ownership of your agents and your margin. Platforms that bundle usage are marking up your minutes.

How do I bill my clients?+

However you like, but you shouldn't be doing it by hand.
